In our platform, we introduce people to the passionate Japanese chefs and guides who share their years of experience and offer attendees the best tastes of Japanese cuisine.

We provide a single platform for information on food events for visitors in Tokyo. Whether they’re looking for a particular food event, located in the proximity of sightseeing spots, or just simply a unique and memorable dining experience, we’ve got everything covered. Tokyo by Food aims to make visitors’ Tokyo visit “The most delicious trip ever!”.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms and live chat

Akismet plugin is enabled on our website. Therefore, the contact form submission data — IP address, user agent, name, email address, website, subject, and message — is submitted to the Akismet service (also owned by Automattic) for the sole purpose of spam checking. The actual submission data is stored in the database of our site and is emailed directly to Tokyo by Food Team. This email will include the submitter’s timestamp, name, email address, subject, and message.

In addition, the IP address and user agent originally submitted with the comment are synced, as well, as they are stored in post meta.

All the data we receive from the contact forms are used to communicate and answer your queries. We don’t use any of this information for marketing purposes.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Analytics

We use Google analytics on our website. Please refer to Google Analytics documentation for the specific type of data it collects. We are also running WooCommerce (also owned by Automattic) and this feature sends following purchase events to Google Analytics: order number, product id and name, product category, total cost, and quantity of items purchased.

Activity Tracked: This feature sends pageview events (and potentially video play events) over to Google Analytics for consumption. WooCommerce sends some additional events to Google Analytics: shopping cart additions and removals, product listing views and clicks, product detail views, and purchases.

WordPress.com Stats

Data Used: IP address, WordPress.com user ID (if logged in), WordPress.com username (if logged in), user agent, visiting URL, referring URL, timestamp of event, browser language, country code. Important: We do not have access to any of this information via this feature. For example, we can see that a specific post has 285 views, but we cannot see which specific users/accounts viewed that post. Stats logs — containing visitor IP addresses and WordPress.com usernames (if available) — are retained by Automattic for 28 days and are used for the sole purpose of powering this feature.

How long we retain your data

We ensure that personal data is retained only for as long as necessary in accordance with the above purposes and applicable laws. We may be required to retain your personal data for a number of years in order to satisfy legal or contractual obligations, or in order to establish, exercise or defend legal claims. When your personal data is no longer necessary for these purposes, the personal data will be deleted.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on Tokyo by Food, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

What do we do in case of a data breach

We notify the supervisory authority without undue delay, and at the latest within 72 hours after having become aware of the breach. If the data breach poses a high risk to those individuals affected then we also inform them.

How we protect your data

Personal data shall be subject to additional safeguards to ensure this data is processed securely. For example, we work hard to ensure data is encrypted when in transit and storage, and access to this data will be strictly limited to a minimum number of individuals and subject to confidentiality commitments.

We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Policy. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to any of our websites; any transmission is at your own risk. What we share with others

We share your name and contact information with our vendors so that they can share the meeting point information and they may also contact you in the case of a change in the event, being late or emergency.

Payments

We accept payments through PayPal and Stripe. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information.
